Administrative assistant

Our team is looking for an Administrative Assistant to fill a permanent full-time position for our Montreal office. The incumbent’s duties will be as follows:

 

Responsibilities

  • Respect the highly confidential nature of the requests;
  • Organize, coordinate and schedule internal and external meetings;
  • Act as a point of contact for internal and external clients and provide outstanding customer service;
  • Manage the schedules of a few consultants;
  • Manage administrative work and requests according to NB standards;
  • Communicate effectively with collaborators;
  • Manage several projects simultaneously;
  • Draft and send emails, memos, letters and forms in line with NB standards;
  • Work within the deadlines for processing requests;
  • Provide on-site assistance to consultants for meetings;
  • Prepare and submit expense reports.

Requirements

  • A vocational diploma in office administration or an attestation of college studies in office administration, or at least five years of relevant experience;
  • Experience in a consulting firm would be an asset;
  • Experience working in a professional services firm is an asset;
  • Proficiency in using CRM, ByD (SAP) and M-Files is an asset;
  • Telework is allowed, but a minimum presence of 3 days per week in the office is required according to the schedule established among the assistants.

  • Excellent command of Word, Excel, PowerPoint and Outlook;
  • Proficiency in French and functional English in both spoken and written forms, as the person in the position will be communicating with clients whose business language is English;

  • Autonomy in task management;
  • Keen organizational skills;
  • Sense of responsibility and accountability for your actions;
  • Sound judgment;
  • Ability to work as part of a team and independently;
  • Interest in legal aspects (contracts, agreements, regulations, laws).
