We are looking for an Administrative Assistant to fill a permanent full-time position for our Montreal office. The incumbent’s duties will be as follows:

Responsabilities

  • Manage administrative work and requests according to NB standards
  • Organize, coordinate and schedule internal and external meetings (schedule management)
  • Act as a point of contact for internal and external clients and provide outstanding customer service
  • Draft and send emails, memos, letters and forms in line with NB standards
  • Communicate effectively with collaborators
  • Update and maintain client contact lists
  • Coordinate and monitor monthly billing and modifications with attention to detail
  • Prepare and submit expense reports
  • Manage several projects simultaneously
  • Provide assistance to consultants for meetings
  • Work under high pressure to meet required deadlines
  • Respect the highly confidential nature of the requests

Requirements

  • A vocational diploma in office administration or an attestation of college studies in office administration, or at least two years of relevant experience
  • Experience in group benefits or healthcare (asset)
  • Experience working in a professional services firm (asset)
  • Proficiency in using CRM, ByD (SAP) and M-Files (asset)
  • Telework is allowed, but an in-office presence is required according to a schedule set by the administrative assistants
